UltimaOS for Clubs & Associations

Encrypted workspace for member coordination, calendars, and document vaults.

UltimaOS for clubs and associations gives the committee, the working groups, and the members an encrypted workspace to coordinate. Bylaws, financials, training schedules — all end-to-end encrypted, accessible only to authorized members.

01 Overview

What this looks like for your club.

01

Member coordination

Encrypted chat channels for committees, working groups, event teams. Permissions and roles managed by the club admin. The server never sees message contents.

02

Shared calendar

Trainings, matches, events. Members see only what they should. Free/busy sharing for scheduling across the group. Integration with personal calendars is optional and per-user.

03

Document & file vault

Bylaws, financial reports, meeting minutes, member lists — encrypted at rest, accessible only to authorized members. Audit log of who accessed what, signed with post-quantum signatures.

02 Details

How clubs run on UltimaOS.

A workspace for the club is provisioned in minutes. Members receive invitations. Permissions and channels are configured through a member directory that the admin team controls.

01

Committee channels

Create separate encrypted channels for the board, the financial committee, the events team, the membership committee. Each has its own membership list and access rules.

02

Member-facing channels

Public-to-members channels for general announcements, training reminders, social events. Members opt in to channels they care about; no spam, no algorithm.

03

Document approval workflow

Draft minutes in Notes, share for committee review with edit/comment permissions, sign with ML-DSA-65 signatures, archive in the document vault — all encrypted, all auditable.

04

Member onboarding & offboarding

Generate an invitation link that expires in 7 days. New member joins with their own keys. When they leave, their keys are revoked; their previous contributions remain encrypted and visible to other members.

03 Key points

Why clubs choose UltimaOS.

  1. 01

    Youth-protection friendly

Server-side we cannot read messages, so a third party cannot subpoena them. The administration panel surfaces abuse reports through in-channel moderation; the system never serves advertising or tracks members.

  2. 02

    GDPR-compliant by design

EU-based, EU infrastructure, zero-knowledge encryption. Member data is not sold, profiled, or transferred. The DPO is reachable for any privacy concern.

  3. 03

    Non-profit pricing

During early access, free for community clubs. After early access, per-member pricing with a non-profit discount for registered associations.

  4. 04

    Federation roadmap

Single-instance workspaces today. Federation between organizations (so clubs can interoperate) is on the roadmap for a later release.

05 Frequently asked

Questions about UltimaOS for clubs.

How many members can a club workspace have?

Short answer

There is no architectural limit. Practical limits are the chosen pricing tier for organizations (which scales by member count) and your own administrative capacity.

Can committee members have different access levels?

Short answer

Yes. UltimaOS supports per-board visibility, per-channel permissions, and role-based access (admin, member, guest). The admin team defines roles and assigns them.

Is UltimaOS suitable for youth protection?

Short answer

Yes — server-side we cannot read messages, so a third party cannot subpoena them. The administration panel surfaces abuse reports through in-channel moderation, and the system never serves advertising or tracks members. For youth-protection compliance (DSA, GDPR-K), the encrypted architecture simplifies compliance rather than complicating it.

Can we migrate from Slack / WhatsApp / Discord?

Short answer

Yes, with manual assistance. We provide migration tools for major platforms during enterprise onboarding. For community clubs, the standard approach is to start fresh and let the new workspace become the canonical place.

Does UltimaOS work for federated clubs?

Short answer

Currently UltimaOS is a single-instance workspace per organization. Federation between organizations is on the roadmap for a later release.

How is the club billed?

Short answer

During early access, free for community clubs. After early access, pricing will be per-member, with a non-profit discount for registered associations.

Can members use their existing email addresses?

Short answer

Members can register any email address or no email at all. UltimaOS does not require email or phone for authentication; account recovery uses the 3-of-5 social scheme instead.

What happens when a member leaves the club?

Short answer

The admin revokes the member's keys. Their previous contributions remain in encrypted history visible to other members. Going forward, no new content reaches the former member.
